Search Process Outline for the Committee


Scientist Positions

  1. Select committee (should be a diverse group)
    1. assign a chair or co-chairs
    2. include individual(s) outside section, outside KGS, and minorities
    3. an uneven number is recommended
  2. Develop the position description as a committee
    1. official title--KU HR/EO makes final determination
    2. working title
    3. full-time or part-time (%)
    4. supervisor
    5. position overview
    6. responsibilities
    7. required and preferred qualifications
    8. services outside assigned section
  3. Provide details for the vacancy announcement
    1. salary range (needs Barb McClain's approval)
    2. deadline (review begins.., first consideration (priority) date.., etc.)
    3. tentative start date
    4. determine whether you want Annette to follow up on incomplete applications or make a statement in the vacancy announcement similar to "Complete applications will consist of cover letter addressing the required and preferred qualifications, resume, and contact information for three professional references. Incomplete applications will not be considered." Do you want to request transcripts; finalists only or from all candidates (official or unofficial)?
  4. Select advertising locations
    1. web sites
    2. list serves
    3. publications
    4. conferences
    5. universities
    6. individuals
  5. Compose job advertisement. This should include enough information to attract candidates, state major requirements, deadline/review date, contact information and website with full details but not so much that the cost is unreasonable.
  6. Submit the p.d., pva and advertisement (& ad locations) to Annette for University approval (~ 5-10 days).
  7. When approved, Annette will notify committee and begin advertising. Electronic screening documents and application material will be provided to each committee member after the deadline/priority review date.
  8. Committee chair will arrange for the committee to meet with their rankings after material has been reviewed.
  9. Committee chair provides Annette a written memo on behalf of the committee that addresses each candidate's strengths and weaknesses based on the duties, required, and preferred qualifications. It should summarize who they wish to invite for interviews and tentative interviews dates [list alternate interviewees-in rank order].
  10. Annette submits this information to KU for approval (~5 days) and then Annette corresponds with non-interviewed candidates and alternates after approval is received. Prior to inviting candidates for interview, references should be contacted. Submit a list of reference questions to Annette prior to calling references.
  11. Committee coordinates with Debbie Douglass who will develop an interview schedule [includes all KGS Directors, Annette, research sections, presentation, open meeting, VPR, geology dept., and any other individuals key to this position]. Committee develops interview questions (submit to Annette prior to interviews). Everyone who has interview-time should be provided an interview schedule and resume [names are withheld until 1-2 days prior to interview]. Copies of resumes can be available at Debbie's desk for Survey staff members just prior (1-2 days) to interview date/presentation.
  12. Interviews conducted (Contact Debbie or Barb about travel/hotel arrangements and reimbursements).
  13. Committee meets to determine who they recommend to hire. Committee may want to conduct follow-up references prior to making a request for offer. Search chair discusses recommendation with Bill Harrison.
  14. Committee chair provides a memo to Annette on behalf of the committee stating who they recommend to hire with justification for all finalist candidates based on duties, required, and preferred qualifications.
  15. Annette submits information to KU for approval (~5 days).
  16. Once approved, director extends offer.

Keep all screening/interview/reference notes for Annette's central search file.
