SUBJECT Information on Oral Presentations

Thanks you for agreeing to be a speaker at the AAPG Mid-Continent Section Meeting to be held in Wichita, August 29-31, 1999. We will have 68 oral presentations. We offer information below to help you in planning your presentation.

Location Oral sessions for meeting will all be held at the Convention Center at the Airport Hilton in Wichita. On Monday, August 30 oral presentations will be made in the Salon IV. On Tuesday, August 31st Session A will be held in the Salon IV and Session B will be located in Salon II. A floor plan showing specific locations of these rooms will be available in your registration packet.

Student Awards Cash awards will be given for Best Student Oral presentation/Best Student Poster presentations (1st place $500, plus Midcontinent Section SEPM will pay expenses to the 2000 AAPG-SEPM Annual Convention in New Orleans; 2nd place $400; 3rd place $300; 4th place $200; 5th place $100). Students poster presenters are eligible to be considered for these awards only if: (1) he/she is the senior author in a multi-authored, accepted abstract/presentation; and (2) he/she is the presenter. Students who wish to be considered for these awards must have completed and returned the enclosed Student Presenter Form no later than by June 15.

Time With a few designated exceptions, each speaker will be allotted 20 minutes, which includes questions from the audience. On Tuesday we will have two concurrent most of the day. If you must cancel your paper, please let us know so we can plan accordingly. Session chairs will closely monitor time to stay on schedule.

Equipment and Staff The staff and equipment available in the lecture room will include 2 - 35-mm projectors, 2 - large screens, 1 - laser pointer, a cue light and timer, a lectern on a riser with light and microphone, a projectionist, session chairs and sign at entrance to indicate paper in progress. Projectionists will advance slides when speakers depresses button at the podium. Projectionist will handle focus and assist when requested by the speaker. Overhead or movie projectors will not be available.

Preparation of Slides

Slides should be loaded into slide trays and turned into the Slide Center before your session begins. If you have a morning presentation, please have your slides ready in the Slide Center by 7:30 a.m. Slide should turned into Slide Center by noon of the day of presentation for afternoon speakers. You can use your own carousel slide trays or the ones provided. Please clearly mark each tray with speaker, session, presentation time and right or left screen. You will advance your own slides from the podium, but please fill out a card on the ordering of your slides for use by the projectionist in case you need assistance.

Also, please consider these guidelines in your slide presentation. 1) Slides should be in plastic mounts. 2) Number each slide consecutively for each slide tray (L1, L2, L3…, R1, R2, R3…). Mark each slide in the lower left corner of the frame (with the slide held in the correct reading position). 3) Use labels for trays provided at Slide Center. 4) Use empty tray slots when a blank screen is desired. 4) Ideally, have both slide projectors advance simultaneously, if two projectors are used. 5) You are responsible for correctly loading and labeling your slide tray(s).


Electronic Presentations

We will also have one laptop computer with Windows98 operating system and PowerPoint 97 Presentation Software for electronic presentations. We request that you transfer your PowerPoint file to our laptop via floppy disk, zip disk, or CD-ROM. Speaker will depress button on podium that will alert projectionist to advance the electronic slides.

Please deliver your PowerPoint file to the Slide Center on the day preceding the date of your oral presentation. (i.e.: speakers in Monday session should deliver the PowerPoint file Sunday night). It would be highly advantageous to try out the projector before the day of your session.

Slide Center and Speaker Breakfast We invite and encourage you to use a Slide Center that will be set up and to please attend the complimentary buffet breakfast for all speakers and poster presenters. Breakfast will be Monday, August 30 at 7:15 AM; check your registration packet for location. A free ticket to this breakfast will be included in your registration packet.
